1. Introduction

J Digital Media and Technology LLC, doing business as HousingShield AI (“HousingShield,” “we,” “us,” or “our”), provides AI camera monitoring software for public housing authorities and similar organizations. This Privacy Policy explains how we handle information in connection with our websites at housingshieldai.com and housingshieldai.app and the HousingShield AI platform (together, the “Service”). Please read it together with our Terms of Service.

2. Our role, and the role of the housing authority

HousingShield provides the Service to organizations, most often public housing authorities (each, a “Customer”). When a Customer uses the Service to monitor its cameras, the Customer decides what is monitored and why, and the Customer is responsible for providing any notices to residents, employees, visitors, and others who may be recorded by its cameras. In that context the Customer is the controller of the surveillance information, and HousingShield acts as a service provider that processes information on the Customer’s behalf and under its instructions, as described in our agreement with the Customer.

This Privacy Policy describes our own practices. Where we process information on a Customer’s behalf, that Customer’s own privacy notices also apply, and individuals should direct requests about that information to the Customer.

3. Information we collect

a. Information you provide to us. When you request a demo, contact us, or set up an account, we collect information such as your name, organization, email address, phone number, and the contents of your messages. Account users are also assigned a role within the platform.

b. Camera events and evidence snapshots. When the Service monitors a Customer’s cameras, it generates event records that describe detected activity, such as the camera involved, the type of event, and the date and time. For certain events the Service captures a still image, called an evidence snapshot, taken at the moment the event was detected. An evidence snapshot may incidentally include images of individuals who were within camera view. The Service performs person and event detection. It does not perform facial recognition or biometric identification, and it does not attempt to identify specific individuals. The Customer’s full recorded video is not stored by HousingShield. Recorded video remains on the Customer’s own recording equipment.

c. Information we collect automatically. When you use our websites and platform, we may collect technical information such as your IP address, browser and device type, pages viewed, and similar usage and log data, including through cookies or similar technologies as described below.

4. How we use information

We use information to provide, operate, and secure the Service, including to deliver alerts and weekly activity summaries, to set up and support Customer accounts, to communicate with you, to process billing, to monitor and improve performance and reliability, to detect and prevent fraud and misuse, and to comply with legal obligations.

5. Camera and surveillance information

Because the Service monitors cameras, we want to be clear about how that information is handled:

  • The Service generates event metadata and evidence snapshots. It does not store the Customer’s recorded video, which remains on the Customer’s own recorder.
  • The Service performs person and event detection only. It does not perform facial recognition or biometric identification.
  • Evidence snapshot images are retained for 90 days, set per site to match the Customer’s camera evidence retention guidelines, and are then purged. Event metadata and a pointer to the Customer’s recording are retained for the life of the contract, as described in Data Retention.
  • The Customer controls what its cameras monitor and is responsible for notifying residents and others as required by law.

6. How we share information

We do not sell personal information. We share information only as follows:

  • Service providers and sub-processors. We use trusted vendors that process information only on our behalf to operate the Service. They currently include Lovable, and the Supabase platform that powers it, for application hosting, the database, user authentication, and email delivery; DigitalOcean, for the server that handles camera connections; Anthropic, for the AI text generation that produces the plain-language summary in the weekly activity report, which receives only aggregated event data such as activity counts by location and time and does not receive evidence snapshots, video footage, or images of individuals; and Stripe, for payment processing when billing is enabled.
  • Customers. Information generated by a Customer’s monitoring is made available to that Customer through the Service.
  • Legal and safety. We may disclose information if required by law, or to protect the rights, property, or safety of HousingShield, our Customers, or others.
  • Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, information may be transferred as part of that transaction, subject to this Policy.

7. Data retention

We retain information for as long as needed for the purposes in this Policy:

  • Evidence snapshot images are retained for 90 days, set per site to match the Customer’s camera evidence retention guidelines, and are then automatically purged.
  • Event data and metadata, including date and time stamps, the camera involved, the type of event, and the pointer to the Customer’s recording, are retained for the life of the contract, and remain searchable by date and time.
  • A user may flag an event as an incident within 30 days of the event. The snapshot for a flagged incident is retained until the incident is resolved, rather than being purged on the standard 90-day schedule, and the related event data is retained for the life of the contract.
  • Account and contact information is retained for the life of the account and for a reasonable period afterward, as needed for legal, accounting, and security purposes.

8. Security

We use reasonable technical and organizational measures designed to protect information, including encrypted connections between Customer sites and the Service, access controls, and role based permissions. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Your choices and rights

Depending on where you live, you may have rights regarding your personal information, such as the right to access, correct, or delete it. To make a request about information we hold about you directly, contact us using the details below. If your request concerns information we process on a Customer’s behalf, such as camera information at a housing authority site, please contact that Customer, and we will support them in responding.

10. Children’s privacy

The Service is intended for use by organizations and their staff, and our websites are not directed to children. We do not knowingly collect personal information directly from children. In monitored common areas, cameras may incidentally capture images of individuals of any age, including minors. That monitoring is controlled by the Customer and governed by the Customer’s policies and applicable law.

11. Cookies and similar technologies

Our websites use only the cookies necessary to operate and secure the site. We do not use third-party advertising or analytics cookies. You can usually control cookies through your browser settings.

12. Where information is processed

We are based in the United States and process and store information in the United States. If you access the Service from outside the United States, you understand that information may be processed in the United States.

13. Links to other sites

Our websites may link to sites we do not operate. We are not responsible for the privacy practices of those sites, and we encourage you to read their policies.

14. Changes to this Policy

We may update this Policy from time to time. When we do, we will revise the effective date below and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised Policy.
